CLASSIFICATION: 12 Month Support Staff STATUS:                   Non-Exempt

 

JOB SUMMARY: Provide clerical support to the School Principal in a manner that is professional, diplomatic, and complies with confidentiality requirements.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  1. Perform clerical duties including but not limited to typing, preparing mail, scheduling appointments, maintaining files, responding to telephone calls and prioritizing messages, greeting and assisting visitors, teachers and students. Ensure the smooth and efficient operation of the office by maintaining office materials, including: all forms, hall passes, and late passes.

 

  1. Screen all visitors, parents/guardians, community members, and students at front door monitoring system; permit entrance and provide assistance; verify guardian pick up of student.

 

  1. Responsible for accurate monitoring of all students that sign in/out of school for work, college classes, LES visits, and late arrivals. 

 

  1. Update and maintain emergency forms throughout school year for each student and faculty member.

 

  1. Handles details for graduation: diplomas, awards; types and copies programs, tickets; and provides accurate list of seniors. 

 

  1. Responsible for processing working papers, daily bus passes and all in-school/out-of-school suspension letters. 

 

  1. Collect, update, maintain list of photo permission forms, Internet Use Permission forms, and STSD Handbook forms. 

 

  1. Coordinate requests for specific subs through Source4Teachers from teachers. 

 

  1. Assist building principal, Dean of Students, Counselors, Athletic Director, and Nurse, as needed.

 

  1. Maintain building student activity accounts including making deposits.

 

  1. Oversee the time reporting support staff through Timeclock Plus.  Ensure Principal approval.

 

  1. Responsible for programming door fobs.

 

  1. Enter the building’s budget requisitions and items ordered throughout the school year on the board approved computer system. Order all supplies for the building through a bid process.

 

  1. Prepare for school opening and student lockers; prepare opening day student materials; and prepare, collate, and mail all forms and pertinent information for the start of the school year.

 

  1. Maintain student records, maintain accuracy of student addresses, residency, contact information, and custody paperwork.  

 

  1. Screen and sort principal’s daily mail, forward items for signature, and re-route signed forms to the appropriate department.

 

MARGINAL DUTIES AND RESPONSIBILITIES:

 

  1. Collect facility use forms, obtain the proper signatures, and submit to principal. 

 

  1. Assist the assistant principal in determining alternate schedules including: picture day, teacher coverage for substitute availability, mid-terms, substitutes for IEPs, and IEPs.

 

  1. Perform other duties as assigned by the Principal. 

 

QUALIFICATIONS: High school diploma or equivalent is required

Experience in general office procedures

Submission of pre-employment medical examination (Section 148 of the Pennsylvania School Code)

Submission of a report of criminal history record from the Pennsylvania State Police (Section 111 of the Pennsylvania School Code)

Submission of a clearance report from the Pennsylvania Department of Public Welfare in accordance with Act 151 of 1994

Submission of Federal Criminal History Record in accordance with Act 114 of 2006

Submission of the Arrest/Conviction Report and Certification Form as required under Act 24 of 2011

Such alternatives to the above qualifications as the Board may find appropriate and acceptable

PHYSICAL DEMANDS: Ability to reach above and below the waist  

Ability to use fingers to pick, feel and grasp objects

Ability to use both hands for repetitive motion 

Some bending, stooping and twisting of the body required  

Ability to lift and/or carry supplies and/or papers weighing no more than 20 lbs. 

Ability to mostly sit with some standing or walking/moving throughout the work environment
